As Registered Migration Agents, we are professionally bound to protect your confidential information and as a company we are required to comply with the Privacy Act. More importantly, it is important to us that you, our clients, are confident the information that you provide to us is safe in our hands and handled correctly.

The information we collect

East West Migration Services only collects personal information that is reasonably necessary for us to provide you with our services. The kind of personal information we collect and hold will depend upon the type of services that you request from us and may include: your name, date of birth, current and previous addresses, contact details, current and previous occupations, overseas travel history, relevant identification documents, your family members details, bank account and credit card details, private information concerning the matter on which you have instructed us to act for you including, but not limited to; financial information, information about your personal circumstances and other commercially or personally sensitive information.

How we collect the information

Most of the information we collect will be from you personally in meetings, telephone conversations, emails/SMS and written correspondence from you. Also, we may collect data and messages from you through our website and secure client portal.

East West Migration Services collects your personal information in several ways including:

  • directly from you (including via your advisers), such as when you provide the information by phone, email or in a form;
  • from other migration agencies (where permitted by law)
  • from third parties as required in order to fulfil our duties to you as your service provider.

We may use third party software or analytical tools embedded in our website to collect information about visits to our website including, but not limited to, the number of visitors, the pages viewed, the length of time of each viewing and the country or state of origin of the visitor. The software may collect your IP address although we are not provided with and do not retain that information.

Our website may use cookies, which are small text files that are placed on your computer’s hard drive through your web browser when you visit our web site to:

  • allow essential parts of our website to operate efficiently;
  • operate our website content management system;
  • operate and enhance security of the online forms that you use to contact us. This cookie is set on your arrival at our website and deleted when you close your browser;

Please be aware that payments made by credit card are entered into an online third-party electronic payment system called ‘Square.’ Any credit card details taken by us are entered directly into their system which is not controlled by us. We do not keep your data to prevent the possibility of our duplicating a transaction without new instructions from you.

How we use your information

The information we collect is used:

  • to verify your identity or transactions which you may enter into with us;
  • to administer and manage the provision of our products and services;
  • to respond to queries, complaints or to provide you with our general customer services;
  • to provide relevant immigration related agencies of your relevant information as required;
  • to provide you with offers of other East West Migration Services products or services;
  • to provide you East West Migration Services risk management policies and procedures; or
  • to train our staff.

The security of your information

Your name and contact details when first collected are entered into our computer file management software and also kept on a physical file opened to hold your documentation.

The file management software in which your personal information is stored and maintained is password protected. The physical files are safely locked in a filing cabinet. The Director of the company is the only person that holds the relevant passwords and key.
